Management’s Point of View ~Temporary Action, Permanent Action, Prevention~

No matter how skilled a team or reputable a company, mistakes can occur, and sometimes they can be significant. While it's preferable to avoid problems altogether, it's crucial for companies to be prepared to respond effectively when issues arise.


In our company, when faced with problems, we address them in three stages: temporary action, permanent action, prevention.


Temporary Action

  • In the initial phase, we take immediate action to contain the issue and prevent it from worsening. Simultaneously, if the problem is complex or exceeds our capacity, we promptly inform project team members.

  • We prioritize listening to both customers and team members, striving to understand the root cause by asking probing questions.

  • Information is swiftly shared within the team to formulate a coordinated response.

  • Speed is prioritized over perfection to prevent the problem from escalating further.


Permanent Action

  • Our focus shifts to understanding the underlying cause of the problem.

  • We prioritize addressing the root cause, even if it requires significant time and resources, which may involve system changes, adjustments to approval processes, or additional training for staff members.


Prevention

  • Rather than addressing issues on a case-by-case basis, we anticipate potential recurrence and take proactive steps to prevent similar problems from arising.

  • We promote a culture of continuous learning by sharing case studies and solutions not only within project teams but across the organization.

Issues often stem from either technical/system failures or human error. While immediate responses need to focus on resolving technical issues swiftly, it's crucial to listen attentively to customer needs and exercise restraint from jumping to premature solutions. Overemphasizing technical solutions may overlook this critical aspect.


On the other hand, in devising permanent action, we must consider not only technical aspects but also invest time in establishing robust company systems and nurturing employee development. This includes implementing checks and balances, internal controls, and ongoing training initiatives, recognizing that human error is inevitable.


The extent to which training permeates throughout the organization may vary, but fostering an environment where employees feel comfortable seeking assistance when faced with challenges is paramount. This requires a concerted effort from the entire company to cultivate a supportive culture. For instance, in our company, open dialogue is encouraged during our Beer Bash sessions, where brainstorming and collaboration lead to enhanced problem-solving approaches. Such initiatives are vital for every company to foster a culture of mutual support and growth.


In addition to nurturing a robust corporate culture, we firmly believe in the significance of implementing preventive measures against recurrence. Providing all employees with opportunities to share insights and knowledge gleaned from past experiences stands as a tangible step in this direction. Each individual may interpret a given scenario uniquely, underscoring the necessity of fostering open dialogue to harmonize perspectives on problem-solving approaches. By cultivating a shared understanding of how to effectively navigate challenges, we fortify the bedrock of our organization. We trust that the dissemination and application of these preventive measures across all levels will elevate the overall performance of the company.


While this aspiration is indeed necessary, it is easier said than done. We acknowledge that we have yet to fully realize this vision. Nevertheless, we are unwavering in our commitment to evolving into a company capable of swift temporary and recurrence prevention.
